It is with great enthusiasm that Hayward Unified School District, from the support of the community through the Measure H bond, provides for the classroom refresh/school modernization of 10 schools across the entire community. The 10 schools are Longwood ES, Lorin Eden ES, Ruus ES, Southgate ES, Treeview ES, Chavez MS, Winton MS, Hayward HS, District Performing Arts Center, and Tennyson HS.

The schools will have refreshed and modernized spaces that will include: new heating, ventilation, and air conditioning (HVAC) systems; new student and teacher furniture; updated technology; and overall provide a safer and improved teaching and learning environment for our staff and students.

PACKING AND MOVING GOALS

WHAT TO EXPECT IN MY NEW CLASSROOM

All wall, floor, ceiling finishes, cabinetry, and light fixtures are being removed from the rooms and replaced as noted below. The existing heating system is being removed and replaced with a new heating, ventilation, air conditioning (HVAC) system.

New Finishes

Flooring   - New carpet with vinyl flooring at the sink
Walls        - Combination of painted and tackboard
Ceilings    - New acoustical tile
Cabinetry - New teaching wall with sliding whiteboards
Shades    - New roller shades are being installed on windows

Other Features

Lighting New pendant lights that provide an up and down light component to provide a balance level of light and minimize shadows

Whiteboard In addition to the sliding whiteboards in the teaching wall, the rear wall will also have whiteboards

AV System An 80” large screen TV with wifi and laptop casting capability. Additional speakers are attached for enhancing sound and a microphone system to allow the teacher to broadcast from those speakers. A document camera can also be attached to the TV.

PREPARING FOR THE MOVE

Boxes/packing materials (boxes. Labels, tags, and inventory forms) provided by district staff.

A minimum of 20 Boxes will be provided per classroom five work days after being notified of the move. Goal is to have at least two weekends for packing. Staff needing additional boxes can be requested through the Site Administrator.
Box all books, contents from each teacher’s desks, bookcases, etc.
Reminder: All personal items of value, both monetary and sentimental, including pets, etc., should be taken home
Label boxes according to direction provided
Any item without a label and room number will not be moved.
File cabinets taller than 2 drawers need not be emptied.
All wall and ceiling mounted instruction materials need to be removed and taken down.
Coordinate with the Site Administrator to visit the newly assigned classroom at least two weeks prior to the move deadline.

BEFORE PACKING

PURGE: Identify materials and furniture that are old, obsolete, no longer used, or are being replaced

TRASH: Determine which items shouldn't be reused.

Throw it into trash bins.
Throw into the Dumpster located on-site.
Label "TRASH" and arrange for custodians to remove after the last day of school
Principal will work with FMOT if additional recycling and trash bins are needed

Potential Trash

Furniture: Old, broken, vandalized items.
Any unmarked plastic: Expanded Poly Styrene ("Styrofoam"), laminated items, toys,
Misc: hardbound books, incandescent light bulbs, toys, treated wood, rubber bands, rubber
If in doubt, throw it out! But, if you are unsure about specialty items, you may contact your principal/supervisor

TAKE VALUABLE AND PERSONAL ITEMS HOME

All personal items of value, both monetary and sentimental, including pets, etc., should be taken home.
Instructional materials and equipment purchased by staff member with personal funds

Do not move unnecessary items.

PACKING GUIDELINES

CLASSROOM SUPPLIES

Box all books, contents from teachers' desks, bookcases, etc.
- Desks, file cabinets, and/or bookcases with contents cannot be moved
Inventory of packed classroom instructional materials
- Provide a list to your principal by the move deadline
District Instructional materials and equipment include
- Classroom textbooks, teacher’s editions, and manipulative kits
- Classroom library books
- Library book collection
- Computer/Chromebook technology equipment
- LLI/F&P materials
- SPED materials
- Occupational therapy equipment
- PE, musical instruments, science lab equipment
- Donations/Donors Choose materials to move with staff (these are not considered “personal” items.
- Quality Counts (QC) Materials need to move with the teacher
All wall or ceiling-mounted instructional materials need to be removed and taken down.
Check textbooks back into the Destiny system
Label all boxes with:
- New Room Number
- Name
Any item without a label and room number will not be moved
Large, heavy, or bulky items: Do not pack in boxes. Add a label instead.
- File Cabinets: Empty all contents and put them in a box. If you don't have a key, tape the cylinder lock so it doesn't get pushed closed in the move. If you have more than one file cabinet in a row, indicate their order alphabetically on the label (ex: Room 1 / File A; Room 1 / File B)
- Maps, screens, and other District materials will be moved upon request and appropriately labeled.

Cabinets/Shelving Units: All furniture must be emptied of items before they can be moved.

If you are moving to a new classroom (refreshed with new furniture), then do not move your current furniture and storage items. Schedule a visit to the new classroom to determine potential needs and the remaining items can be left in your old classroom for repurposing or disposal.

TECHNOLOGY EQUIPMENT

User-assigned HUSD technology equipment will be disconnected by an EIT tech, who will first disconnect the HUSD technology equipment on the assigned day and will be ready for packaging.
Any other personal equipment (e.g. personal printers, speakers, etc.) currently in classroom should be packed as described above
Phones will be left in the classrooms for safety reasons, and to be collected by the EIT Tech at a later time.
All other EIT equipment such as network switches, wireless access points, cameras, etc. will be removed at a later date.
User will Pack Projector and Document camera along with all cables in a box.
Media Cart needs to be wrapped and labeled with Teacher’s Name/Location.
Laptop and AC adapter need to be carried by Teacher in the laptop bag.

CUSTODIAL EQUIPMENT, SUPPLIES, AND HAZARDOUS MATERIALS

KITCHEN EQUIPMENT, SUPPLIES AND FOOD

Kitchen equipment will be moved to the Darwin warehouse.
Work orders are placed for the safe disconnection of the mechanical, electrical and plumbing fixtures.
All service supplies and food will be moved by Student Nutrition Services internal staff no later than 48 hours after the last day of school.
Equipment will be moved upon completion of the disconnection.

FAQ

Q. How soon can I start packing?

A. We recommend starting the process as earliest as boxes are delivered to the school site.

Q. Will I have access to packing supplies?

A. Self-locking boxes and labels are provided. If additional moving supplies are needed, please contact your Principal.

Q. What kinds of things should I be keeping vs. throwing away?

A. Teachers and Staff are strongly encouraged to purge old items as much as possible. Unwanted teaching materials, broken furniture and any item that has not been used in over (5) years should be seriously considered for trash.

Q. Can I keep my classroom computers?

A. The EIT Department will be handling all District owned electronics: computers, telephones, etc.

Q. What items will be provided in my interim classroom?

A. Interim Classroom: Includes standard District classroom furniture and your existing classroom equipment and supplies as packed and labeled, existing storage (varies by room).

Q. How much moving and packing do I have to do?

A. Teachers and staff will be responsible for packing items per the Packing & Moving Directions Handout

Q. Can I get someone to help me do the heavy-lifting?

A. YES, Please contact your principal

Q. Can I pack everything by myself, if I want to?

A. YES

Q. I have very specific moving needs: Can I give special instructions to ensure my needs are met?

A. YES, please contact your Principal.

Q. How can I get help with my new classroom/office set up?

A: Create a map of how you would like your new office or classroom set up. Staff will do whatever they can to place the items in the areas designated on the map. If your new location is not yet fully cleaned, your items will be moved in once the deep cleaning is completed.
